Job Title: Corporate Searcher

Reports to: Manager, Business Law

Job Summary:

Registry Agents, in the Court Registry Support Services practice area, are responsible for reviewing document packages, to ensure the packages are ready for filing at the court registries. If Registry Agents identify any errors or omissions in the documentation, they work with the clients to correct the issues. The Registry Agents are then responsible for filing the documentation with the appropriate division of the court registry. Registry Agents also conduct searches of court files. In addition to these search and registration activities, Registry Agents perform a variety of tasks including, but not limited to; liaising with clients and court registry representatives, creating work orders and invoices, and performing other related clerical tasks.

Responsibilities

Job responsibilities:

  • Reviewing, coordinating and preparing documents to ensure they are ready for filing at the Court Registry
  • Reviewing and processing applications for probate and applications for administration
  • Communicating with clients regarding errors, omissions and amendments to their document packages
  • Prioritizing, organizing and responding to rush orders to ensure filing deadlines are met
  • Attending the Court Registry in order to facilitate the filing of court documents
  • Conducting name and court file searches; either manually or via electronic search methods
  • Obtaining copies of documents from court files
  • Preparing cheques to pay for filing fees and disbursements
  • Verifying that calculated fees balance with the fees that are charged
  • Providing general clerical support (filing, copying, scanning, etc.)
  • Learning the phone system, assisting with taking calls (FAQs)
  • Learning the billing system, creating client invoices
  • Preparing courier packages
  • Performing other clerical tasks, as assigned
  • Participating in the development and documentation of procedures
  • Providing assistance to other team members, as required
  • Providing over the top customer service to both internal and external clients
  • Participating in learning and development opportunities
  • Recognizing and seizing opportunities to promote our range of products and services to clients
  • Promoting the use of ETRAY™
  • Promoting and personally demonstrating the Company’s core values when dealing with employees, clients and other business stakeholders
Qualifications

Required Skills and Abilities:

  • Minimum grade 12 education
  • Legal Administration diploma is considered an asset
  • Minimum of one year of experience working in an office environment
  • Superior organizational and time-management skills
  • Proficiency with MSOffice Suite applications
  • Fast and accurate keyboarding skills
  • Ability to adhere to strict guidelines and procedures
  • Excellent command of the English language in both written and oral forms
  • Demonstrated customer service skills
  • Ability to remain calm under pressure
  • Must be a team player; possessing a positive and friendly demeanor
  • Must embrace innovation and be resolution-focused
